Freight Forwarding UK: What It Actually Is and When Your Business Needs It

Freight forwarding is one of those terms that gets used in two quite different ways, and the confusion causes problems for businesses trying to work out what they actually need. Let's sort it out.

Strictly speaking, a freight forwarder is an intermediary — they organise the movement of goods on behalf of a client, using a combination of carriers, shipping lines, airlines, and road hauliers. They don't necessarily own any of the vehicles themselves. Think of them as travel agents for freight.

In practice, particularly for road freight within Europe, 'freight forwarding' often just means 'organising international road transport' — and many road haulage companies, including us, handle this directly rather than through an intermediary chain.

What a Freight Forwarder Actually Does

For international freight, a forwarder handles the logistics coordination, customs documentation, carrier booking, and paperwork compliance. For a consignment going from a UK factory to a customer in Germany, they might arrange the UK truck to port, the customs export declaration, the sea or channel crossing, the European delivery truck, and the import customs clearance at the German end.

For simpler European road freight — which is most UK-to-EU shipments — you often don't need a full multi-modal forwarder. Post-Brexit: What's Changed and What You Actually Need to Do

Before Brexit, UK-to-EU freight was domestic trade for customs purposes. No declarations, no commodity codes, no customs checks. That ended in January 2021. UK exports to the EU now require:

•      A commercial invoice with accurate goods description, value, and commodity (HS) codes

•      A packing list detailing contents, weights, and dimensions

•      An export declaration submitted to HMRC via the Customs Declaration Service

•      Your EORI (Economic Operator Registration and Identification) number

•      Any relevant licences or permits for controlled goods

Commodity codes — the HS codes that classify your goods for customs — are where most mistakes happen. Incorrect codes cause delays at the border and potentially incorrect duty calculations at the destination. Get them right before the vehicle leaves.

When to Use a Direct Road Haulier vs a Full Forwarder

For straightforward road freight from the UK to European destinations — Netherlands, Belgium, France, Germany, Spain, Italy — a direct European freight from the UK haulier is usually simpler and cheaper than routing through a forwarder. You have one company to deal with, they handle the road movement and the documentation, and there's no intermediary taking a margin.

A full multi-modal forwarder makes more sense when your freight needs to combine road, sea, and air transport — for example, goods going to the US or Asia — or when the routing is complex enough that specialist coordination adds genuine value.

Incoterms: Who Is Responsible for What

If you're exporting regularly, understanding Incoterms is worth the effort. They define the split of responsibility between buyer and seller for transport, insurance, and customs costs. EXW (Ex Works) means the buyer arranges everything from your factory gate. DDP (Delivered Duty Paid) means you, the seller, are responsible for everything including import duty at the destination. Most UK SME exporters work on FOB, DAP, or CIP terms — if you're not sure which applies to your sales contracts, it's worth checking with your freight provider before you ship.
